Using Filters to search Assets

Find exactly what you need β€” fast and accurately.

Why Use Filters?

Filters let you narrow search results and locate specific Assets quickly. They are especially useful when working with Custom Fields β€” fields that store detailed information about each Asset, such as:

  • Purchase date
  • Service date
  • Department or owner
  • Asset condition
  • Any other custom details your organisation tracks

Filters also allow you to search at the Asset Type and Location level, giving you more flexibility and control over your inventory searches.


When to Use Filters

Filters are most effective in situations like:

1. Searching by Asset Type

Asset Types are the hierarchical of Assets. For example:

  • Handtools (Type)
    • Hammer (Subtype)
      • Sledge (Subtype)
      • Claw (Subtype)
    • Screwdriver (Subtype)
      • Flat head (Subtype)
      • Phillips head (Subtype)

Using filters, you can search at any level of the hierarchy:

  • See all Handtools at once
  • Narrow to a specific subtype, like Hammer or more specifically any type below that as well such as looking at just the Flat head Screwdrivers
  • Or find individual Assets within that subtype

This is useful when you want to verify the presence, condition, or details of Assets grouped by type.

2. Searching by Location

Filtering by Location shows all Assets at a specific site, workshop, or storage area.

  • Checking things that were last seen at a specific Location

Example: "Show me everything at Workshop 1"

  • Combine Location filters with Asset Type filters to find specific items at specific places

3. Using Custom Fields

Filters work best with Custom Fields to search for Assets based on details like:

  • Department
  • Last service date
  • Purchase year

This is any details captured in Custom Fields by your organisation

Using these all together can be extremely powerful

For example, you could filter for all Hammers purchased before 2024 at Workshop 1.


How to Apply Filters

  1. Click the Assets button in the dropdown from the top left.
  1. Enter a keyword or Asset name if needed.
  1. Open the Add Filters section.
  1. Select any combination of:
      • Asset Type (parent group or subtype)
      • Location
      • Custom Fields (department, service date, etc.)
  1. Apply the filter to see only Assets that match your criteria.
Tip: Combining filters across Asset Type, Location, and Custom Fields helps you locate specific Assets quickly in large inventories.

Things to Know

  • Filters can be applied at any level of the Asset Type hierarchy.
  • Filtering by Location is a quick way to see all Assets that were last sighted at a particular site.
  • Using filters with Custom Fields ensures accuracy when checking service schedules, department allocations, or Asset conditions.
  • Combining multiple filters gives you precise, actionable search results.
