Custom Fields let you capture specific details about individual Assets like brands, serial numbers, inspection dates, and model variations — and ensure every Asset record is accurate, searchable, and tailored to your operation.
Why Use Custom Fields?
They keep your Asset data rich, clean, and relevant. Allowing you to use G2G to do things like:
- Track brand, model, or size for similar Asset Types
- Log expiry, inspection, certification, or test dates
- Track Serial Number, Equipment ID, or Asset Number
- Record Business Unit ownership
- Capture Asset-specific info used by your field crews
- Filter, group, or report on gear variations easily
- Standardise how Asset information is recorded
- Support Workflows like inspections and servicing
Applying Custom Fields Before creating your fields, you need to know that Custom Fields can be applied at two different levels:
Asset Type Level — When a Custom Field is applied to an Asset Type, it becomes available on every Asset created under that Type, like when the same information needs to be common across many similar Assets. For example: An instruction manual link applied to an Asset Type will display consistently across all Assets of that Type.
Asset Level — When applied directly to an individual Asset, the value entered will only applies to that specific item, e.g. an Serial Number, Vehicle Registration or a Service Date.
Step-by-Step Instructions
Example: Let’s say you want to log which brand each tool belongs is. Here’s how to create a simple dropdown field to do just that:
Step 1: Go to Custom Fields
From the main menu, navigate to the Custom Fields or to the + New Custom Field section in the top right of the screen.
Step 2: If you clicked “Add a Custom Field”
You’ll be taken to the “Add a New Custom Field” screen.
⚠️ Please Note: After creating your first Custom Field, You will never see this page like this again. You will only be able to use the + New Custom Field button from the top right corner

Step 3: Choose Field Type
Select from the 8 different types of field based on what you want to capture.
- Short Text — Free text entries e.g. for Serial Numbers
- Link (Hyperlink) — URLs or links to related information, documentation or OneBlink forms
- Dropdown — Select one option from a predefined list e.g. Brands, Sizes, or Safe Working Limits
- Checkbox — Select multiple options from a predefined list ,e.g from a list of Hand Tools the user might check Spanners AND Hammers but Shifters and Files might be left unchecked.
- Date — Calendar date only
- Date & Time — Date with a time component
- Number — Whole numbers
- Decimal — Numeric values with decimals
In this example, select: Dropdown
Step 4: Add Field Options
Enter the list of selectable values. For brands, type each one:
- Makita
- DeWalt
- Milwaukee
- Bosch
- Ryobi
- Other
📝 You can drag-and-drop to reorder based on popularity or alphabetically — your call.

Step 5: Define the Field Label
Enter a clear name for your field.
Example: Brands

Step 6: Set Required (Optional)
If this field must be filled in before saving an Asset:
- Click Edit under the “Required” box
- Check ✅ Required
- Click Save

Step 7: Set “Remember Value” (Optional)
If you’d like the system to remember the last used value:
- Click Show Advanced Settings
- Click Edit in the “Remember Value” section
- Check ✅ Remember Value
- Click Save

Step 8: Finish Setup
Once you’re happy with your field:
- Click Finish Setup
- A confirmation will appear: Custom Field Added
Step 9: Link to an Asset Type
Now you can connect your custom field to relevant Asset Types.
- Navigate to Asset Types
- Scroll to the Types Field section
- Click Edit
- Click Assign Custom Field +
- Select Brands
- Click Save

Tips
- Each section must be saved individually — incomplete fields won’t let you finish setup.
- Use title case and consistent naming (e.g. "Brands" not "brand" or "BRAND")
- Reorder dropdown items based on how your team uses them in the field
- The same custom field can be applied to multiple Asset Types
- By assigning a Custom Field to a parent Asset Type, like Battery Tools, all the Asset Types under it, like Drills, Impact Drivers and Angle Grinders, will automatically inherit that Custom Field.
