Workflows
Automatically notify stakeholders by email when a Snapshot is submitted and an exception is noticed.
What are Workflows?
Workflows is an automated email notification system in the G2G Console. It can notify relevant people when a Snapshot is saved that includes:
- Missing Assets
- Additional Assets
- Assets that have been manually sighted
Workflows help ensure issues are seen immediately, without relying on someone to manually check reports or dashboards.
Each Workflow can be configured to trigger based on a combination of:
- Snapshot conditions
- Manifests used
- Locations
- Assets
This makes Workflows a key tool for accountability and visibility, especially for managers and administrators who need to stay informed when something isn’t right.
Creating a Workflow
In the G2G Console, click the + icon in the upper-right corner and select + New Workflow.
This opens the Workflow setup page, where you can define conditions under which notifications are sent.
Workflow Settings
When creating a Workflow, you can configure the following options:
- Name
A clear name that describes the purpose of the Workflow
(e.g. Standup Toolbox Missing Items)
- Trigger / Snapshot Conditions
- Missing items
- Additional items
- Manually sighted items
The conditions that trigger the notification, such as:
- Filter Manifests
Select which Manifests the Workflow applies to
(e.g. Standup Toolbox – End of Day Manifest)
- Filter Locations
Select which Locations the Workflow applies to
(e.g. Workshop 1)
- Recipients
Enter the email addresses that should receive the notification.
This is typically a manager or administrator, but you can include as many recipients as needed.
- Message
Add a custom message to provide context in the notification.
Example Workflow
Toolbox Accountability Report
This Workflow could be configured as follows:
- Triggers: Missing items, Additional items, Manually sighted items
- Manifests: All toolbox-related Manifests
- Locations: No location filter applied
- Recipients: Foremen and site managers
With this setup, managers are notified immediately after an Inventory Check is completed, allowing them to act quickly if a tool is missing, misplaced, or picked up from the wrong area.
Things to Know
- Workflows trigger automatically when a Snapshot is saved
- Multiple Workflows can be active at the same time
- Notifications are sent instantly to the configured recipients
