What is Create Record?
Create Record lets a User complete a Form against an Asset to capture additional information. The data collected can automatically populate Custom Fields, keeping Asset records accurate and up to date.
Records are commonly used for inspections, servicing, condition checks, and status updates β anywhere consistent, structured data needs to be captured in the field.
How Create Record Works
To use Create Record, the Form must first be linked to the Asset through a Custom Field.
- Create a Custom Field in the G2G Console and set its field type to Link.
- Apply the Form to that linked Custom Field on the relevant Asset Type.
- The Form is now available whenever an Asset of that type is scanned.
Using Create Record in the G2G App
- From the Home Screen of the G2G App, tap Create Record.
- Scan the Asset's tag.
- If the Asset has a Form linked via a Custom Field, the Form loads automatically.
- Complete the Form and submit it.
- The captured information writes back to the Asset's Custom Fields immediately.
Why Use Create Record?
Example: an Inspection Form might capture:
- Service date
- Next service due date
- Asset status
- Inspection notes
Submitting the Form updates those Custom Fields on the Asset immediately, removing the need for manual data entry in the Console and ensuring information is captured at the point of interaction.
Using Workflows with Create Record
Create Record works alongside Workflows to notify the right people when a Form is submitted. For example:
- Send a confirmation email when an inspection Form is completed
- Notify managers when a service record is submitted
- Alert administrators when an Asset status is updated
This means Form submissions are seen immediately and acted on when required.
Things to Know
- Create Record only loads a Form when the scanned Asset has a Custom Field of type Link mapping it to that Form.
- Submitted Forms write back to the Asset's Custom Fields, so reporting, filtering, and Workflows always reflect the latest captured data.
- Forms are configured in the G2G Console and become available in the G2G App as soon as the Custom Field link is in place.
