Think of Custom Fields as flexible tags that help your team record the details that matter, without cluttering your core asset types. Custom Fields let you capture specific details about individual assets that aren't part of the standard system fields. They help you track things like brands, serial numbers, inspection dates, and model variations — and ensure every asset record is accurate, searchable, and tailored to your operation.
Why Use Custom Fields?
They keep your asset data rich, clean, and relevant. Allowing you to:
- Track brand, model, or sizing for similar asset types
- Log expiry, inspection, certification, or tested dates
- Track Serial Number, Equipment ID, or Asset Number
- Record Business Unit Ownership, lease vs owned
- Capture asset-specific info used by your field crews
- Filter, group, or report on gear variations easily
Step-by-Step Instructions
Example: Let’s say you want to log which brand each tool belongs to. Here’s how to create a simple dropdown field to do just that.
Step 1: Go to Custom Fields
From the main menu, navigate to the Custom Fields section.
Step 2: Click “Add a Custom Field”
You’ll be taken to the “Add a New Custom Field” screen.

Step 3: Choose Field Type
Select the type of field based on what you want to capture.
- Short Text — e.g. for Serial Numbers
- Link — e.g. for a URL to documentation or inspection forms
- Dropdown — e.g. for Brand, Size, or Kit Type
- Checkbox List — e.g. for Safety Gear Included or Tool Features
In this example, select: Dropdown
Step 4: Add Field Options
Enter the list of selectable values. For brands, type each one:
- Makita
- DeWalt
- Milwaukee
- Bosch
- Ryobi
- Other
📝 You can drag-and-drop to reorder based on popularity or alphabetically — your call.

Step 5: Define the Field Label
Enter a clear name for your field.
Example: Brands
This will appear in asset forms and tables — so keep it short and clear.

Step 6: Set Required (Optional)
If this field must be filled in before saving an asset:
- Click Edit under the “Required” box
- Check ✅ Required
- Click Save

Step 7: Set “Remember Value” (Optional)
If you’d like the system to remember the last used value:
- Click Show Advanced Settings
- Click Edit in the “Remember Value” section
- Check ✅ Remember Value
- Click Save

Step 8: Finish Setup
Once you’re happy with your field:
- Click Finish Setup
- A confirmation will appear: Custom Field Added
Step 9: Link to an Asset Type
Now connect your custom field to relevant asset types.
- Navigate to Asset Types
- Scroll to the Types Field section
- Click Edit
- Click Assign Custom Field +
- Select Brands
- Click Save

Tips
- Each section must be saved individually — incomplete fields won’t let you finish setup.
- Use title case and consistent naming (e.g. "Brands" not "brand" or "BRAND")
- Reorder dropdown items based on how your team uses them in the field
